15 QUESTIONS TO ASK WHEN HIRING A BAND (DJ) FOR WEDDING OR OTHER EVENT

When hiring a band, DJ or solo musician for your wedding or special event, you want to make the best choice possible. There are many things to consider to make the event perfect ranging from how to find a band that will make the event perfect to scheduling and pricing..

Determining which band is right for your event:

1) It's all about the music! What do you are you picturing is ‘the perfect vibe’ for your event?

Does the band’s music match that vision? If so, they will most likely meet your expectations. Do you want a huge dance party or people sitting and listening? Firstly, get a clear picture in your mind, then research further, asking the next few questions.

2) Ask the band, do you have a set list or list of songs you play?

This might also be on their website. The type of songs will give you a feel for what the band will be like.

3) Do you have any videos I can watch?

Let's face it, in this day and age, if a band doesn't have videos you can watch, you probably won't hire them anyway. Look at the crowd, are people having fun, do they look the same way you want people to look at your event? This is the best way to gauge if they are a good fit for your event or not. Look at the crowd in the videos.

4) Are they easy to work with?

You don't want drama, and you don't want to be unorganized. There's nothing worse than having to baby sit a band that can't get their "act" together. Referrals are a huge way to feel this out. Some bands include this on their website. Another way to do this is look for a list of past events, and then call one of the venues to see what they were like.

Determining your logistical needs:

1) How long will the band play?

Developing a great timeline and sticking to it best as possible will ensure all the elements of your event will not only happen but also will run smoothly.

2) What is the overall schedule of events?

Stay as organized as possible. If you’re looking for answers to pertinent questions, include something in your email like "can you let me know by Friday Sept 7th?"

3) Does the venue have a sound system or does the booking price include a sound system, lighting or additional production in their price?

This might affect the price of the booking. Some bands and DJs might provide production like sound and lights but for an extra fee. This is not uncommon. Be sure to ask what’s included.

4) If the venue or band does not have production, then do they have any trusted recommendations of local production companies to rent from?

Suppose that no one has a sound system. Now it’s up to you to find the sound system and production. It’s best to go with a production company that’s trusted. Asking the band or DJ might be very beneficial.

5) Is there a stage at the venue where you’re hosting the band or DJ?

If not, what dimensions of a stage should you rent? Where should you rent a stage locally? Bands work often with local production companies and can be a great resource and save you money.

6) Does the band need a green room or place to change?

For many bands, this is a necessity for the show being as good as it can be. This is not the addition of some super diva rock band. If they ask for green m&m’s, then you have a funny story to tell friends. But, providing waters and basic snacks is customary and what you’d want also.

7) Are there any other moments that require music?

What is their pricing for each portion? Consider your needs and ask what the band or DJ is capable of. For example, do you need the band to also cover the ceremony or maybe a happy hour? Often for a wedding or corporate party having music taken care of all by one vendor can give you peace of mind.

8) Are the other elements (i.e cocktail hour, wedding ceremony) in another location?

If so, you will need sound for these. Even in the smallest venue, sound reinforcement (a system) is always a must. It's not necessarily about volume as much as it is about covering the whole space with sound and giving all of your guests the same amazing experience.
